Pastoral Council Meeting  - August 20, 2019
Present:  Trent Lockard, Kris Dunkin, Jeff Keen, Gerri Dix, Wayne Green (FFC), Dan Dufner (Finance), Phil Paladino and Fr. Dave Ambrosy
 
Opened meeting with introductions and welcome to new members.  Prayer by Fr. Dave
Meeting conducted by Trent Lockard
Election of officers:   Tabled until September meeting.
 
Reviewed minutes of May 21, 2019 meeting.  Wayne Green made motion to approve minutes, Gerri Dix seconded.  Approved.
 
Faith Formation:  Jeff spoke regarding Catechesis of the Good Shepherd (CGS).  With Michelle leaving, we are without a Second Level trainer (ages 6-9) at this time.  Jeff Keen and Sara Heitz were meeting with Sara Burke of St. Pat’s (CF) to keep CGS proceeding. 
 
We are moving forward with a 3-4 grade program, 5-8 grade program (EDGE), Chosen as the high school confirmation program.
 
A search is being conducted to find Michelle’s replacement.
 
Peace & Justice Committee:  Recommendations brought to the council for distribution of tithe:
          Local:  $500 Butler Co Food Pantry
          National:  $1000 IA Heartland Habitat for Humanity (Waterloo)
          National:  $500 Big Brothers Big Sisters
          International: $1000 Self Help
          International:  $1000 Doctors without Borders
Jeff moved to accept recommendations, Dan seconded.  Motion approved
 
Task Form Agenda Items:  Phil shared the Task Force plan and asked us to review the Goals section and approve so the task force could continue progress with their work. 
Dan moved to accept, Kris seconded.  Motion approved.
 
Dan gave an update of the Finance Committee.  The voted Kelly Flege as Chair, with Kelly Willis as Vice Chair.  They are working with a $515,000 budget for the 2019-2020 fiscal year.   Finance committee plans to speak to parish at weekend Masses in September to encourage parishioners to consider increasing their contributions.
Kris moved to accept Dan’s report Gerri seconded.  Motion approved.
 
Faith Formation Commission - August 13th, 2019 at 6:30pm (notes in RED are updates added after the meeting):
Present:  Father Dave, Wayne Green, Julie Feldhake, Bill Flege, Andrea Dufner, Becca Elsamiller, Jennifer Njus, Terri Cruise and Dixie Jacobs  
 
Introductions- Welcomed Becca Elsamiller and Jennifer Nus
Education on Archdiocese rules:
  1. St Mary Church does not rent the building out to “For Profit” organization or individuals
  2. Archdiocesan Childcare Guidelines:
  • One person needs to be 18+ yrs. old.  If the person is expected to leave the room to take child(ren) to the restroom or change diapers, must have 2nd person.
  • Person needs to be an employee if they are paid, which means we need to do citizenship (I9), W4 etc. before they are paid
  • One person must have a background check and online “safe environment” training.  The 2nd person, as long as supervised by certified adult, does not need to have these credentials.  However, if the supervisor may leave the room for restroom or diaper duty, the 2nd person must by 18 yrs. & be certified also
  • Need to allow at least a week to get background check returned
  1. Archdiocesan guidelines “for-profit” entities
  • Presenters must have their own insurance with the church and archdiocese as “additionally insured”.  One million dollar coverage per incident
  • Specific liability concerns
  • Not offering childcare for any “for-profit’ programming
  1. Faith Formation Registration & Brochure
    1. Dixie brought the brochure she had.  She and Angie will work on putting it together and will share it with the commission
    2. Dixie will move forward with a communication on elementary, middle school and high school programming to parish families in these age groups.
  2. Elementary programing was discussed.  Michelle was the only trained level II Catechist for Catechesis of the Good Shepard.  Working on getting interested Catechist trained; there is an individual in Waverly and another in Cedar Falls that have training that could help with program planning until others are trained
  3. Tabled talking through summer offering for 4th grade 
  4. We agreed to not pursue Adult “Alpha” program with Michelle’s resignation.
Julie’s update middle school & high school programing:
  • Edge for Middle School
  • Alpha Teen for freshmen and sophomores,  Alpha Teen replaces our Chosen program for sophomores 
  • Life Teen for high school.  Julie has recruited two adult catechesis Mary Jo and Maria in addition to Lotec participants and Grace Beck helping
  • Chosen will continue for Juniors
 
Julie needs 4-5 catechesis for Edge and 12 catechesis for high school.  The group discussed slowing down the new programming for the youth with Michelle leaving.  Julie said all her program planning and curriculum is complete and not moving forward would leave no program for freshmen.
 
We had an earlier discussion on using the church vs homes for the high school programs.  Julie mentioned being able to use the church on Sunday and Wednesday nights.
A communication will be made to the parish about the need for catechesis for Edge and Alpha Teen
Julie provided a list of families with children that will be freshmen and sophomores.   The faith formation commission offered to help recruit catechists.

  • Dixie will get an ad put on the archdiocese website for the position.  
  • A cross sectional committee will be formed to review/interview applicants. 
  • Job description was reviewed, no major changes were made

    • Programming for 1st through 4th was discussed (there is a potential interim candidate  who if accepts the interim position will choose a program for this age group

      • RCL Benziger
      • Sadlier
    • Discussed slowing down level 2 since we don’t have level 2 catechists trained
      • Each level is 90 hours of training and builds on the prior level
      • Have interested level 1 catechists, but also need to train more level 1 for level on catechist to move on to level 2
    • Discussed start and end dates and timing.  This is going to be dependent on the programming.
    • Concerned was raised that families need to be communicated on programing changes as soon as possible.  Can we have information ready to share at the kickoff meeting on the 15th?
    • Discussion around planning PK -K and 1st – 4th together timing wise to help families with multiple children.  An idea was mentioned about looking into having kids bused from school on Wednesday for the early elementary programing.  Similar to what St Paul’s is doing. 
Reviewed proposal for “Walk with Christ” weekend in November. 
The FFC felt it was a great opportunity for Father to consider. 
  • There is an open weekend Nov 2nd and 3rd
  • It would be a male and female weekend (it would not be separate events like in the past)
  • See the attachment forwarded to the commission before our meeting
Adult Small Groups
  • Sigrid provided an update on volunteers to lead small groups
  • See Sigrid’s updated forwarded to the commission before the meeting
  • It’s been a challenge to find small group leaders
  • The FFC felt having the Walk with Christ weekend would provide an option for Adults if we can’t find small group leaders.
Julie presented 5th – 12th Grade Youth Ministry
Edge program (needs a couple of catechesis)
          Edge core team to meet on 9/5, will begin 9/18
Confirmation (juniors)
          Confirmation Mass 5/6 at 6:30 pm
          Classes being 9/22
Life Team – Mary Jo and Mariah are preparing for their first meeting on 10/2
Alpha – This will be determined by registration, dates to be determined by each small group.  Need small group leaders, 2 leaders needed for each group.
NCYC 2019 –
Meeting was held 8/25, 41 of the 47 teams were present
Chaperone meeting is 9/11, next teen meeting is 10/27
LOTEC - Held debrief with Deacon Phil. Plans in the works for a squad next year.
NDVison – Julie would like the FFC to consider NDVision for the summer of 2020 for 9th and 10th graders.  FFC will talk through this at the next meeting.  (Lotec and NDVision would replace YTM)
 
 
St. Mary Parish Life Minutes: August 21, 2019 (4 attendees )
Holiday Bazaar....Sharon has sent 36 letters to vendors .  If you know of any crafters let Sharon know.  We need vendors for the following:  Pink Zebra, Usborne Books, Tastefully Simple, Wildtree, Scentsy and crafts.  Helen will speak with Dixie about putting this need in the bulletin. We may have parishioners who would be interested.
Helen will visit with Dixie about bulletin announcements for the Holiday Bazaar, which weekend we can put out the signup sheets, and questions about the silent auction.
The hall had been reserved for Dec. 6-7.  Santa has the Dec. 7 on his calendar. White Elephant donations will be accepted Nov. 20-Dec. 6 in classroom A.  The items will need to be taken out before Sunday morning as the classroom is needed for children's liturgy on Sunday morning.  The hall is being set up for a spaghetti meal fundraiser, so white elephant items cannot be in the hall after Sunday Masses this year.
We reviewed the financials.   We offered to donate $150, towards the Totus Tuus Pizza Ranch night.  Helen will check with Dixie to see if this was used.  We would like to know the Totus Tuus attendance number. Helen will ask. It was decided to donate an additional $1000. to the 2019 NCYC (for a total of $2000.). Helen will ask Dixie to transfer this amount.
Sharon will send a thank you note to Mary Ann Hinders for being the contact person for the funeral home for the last 10+ years. 
Linda will contact list 10 callers regarding a couple of questions.
We discussed providing cookies and salads for funerals vs. ordering all from Hy-Vee (suggestion from office staff).  13 callers responded to this question .  It was overwhelmingly felt that ladies of the church should continue to provide cookies and salads for funeral luncheons.
Following is a sampling of responses:
-I have been calling for years.  We have been pretty impressed with the ease of getting our quota of salads/cookies.  Like the variety of food we provide as well!  Some of the younger women have actually volunteered to bring more than one item!  I too think it is a way to involve parishioners. 
-I think it is important as a church family that this be continued.  Sometimes this is the only thing some people do for the church if they do not regularly attend.  I know I have had Jace Smith's mom on my list for years. (6-7th grader that passed away)  She never answered or returned my calls.  Since he has passed she returns my call every time and has offered to bring both a salad and dessert if needed.  I don't think some younger people realize the importance of it until it hits their family.  I LOVE the variety of salads we provide.  I recently attended a funeral in my home town.  The parish women made ham and potatoes, a jello salad and bought cookies.  Honestly...it was not very good.  I feel our meals are fulfilling to the tummy and the heart.
- I too have come across numbers no longer in service and people not answering the phone. Although I don’t believe it is so bad that we should discontinue doing it. It may be, that this is the only viable option for people to contribute as a volunteer to the church community whether it be as a caller or someone who makes a salad or cookies.

Saint’s Café Meeting at St. Mary’s on September 4, 2019
Meeting began at 9:30 in the conference room at St. Mary Catholic Church.
Attended by Jim and Sue Aubrey, Nancy Carlson, Dolly Kreger and Tom Singewald.
The meal we served on August 19, 2019, was maid rites on a bun, cucumber salad, beans, chips, cantaloupe, bars and ice cream.  We served 255 meals.
The meal to be served on September 16, 2019 at St. Paul’s will be pulled pork on a bun, beans, chips, cantaloupe or watermelon from the Dix farm, cookies and ice cream.  We will cut the fruit into wedges. The crewing needs for the meal were discussed.  The HyVee pick-up will be done by Sue and Jim  Aubrey.
The October 21, 2019 meal will be pork chops cooked in cream of mushroom soup, mash potatoes, green beans, bars and ice cream.  There may be a chance that we could be cooking squash at that time if donated.  It was mentioned that we have found our meals of Mac and Cheese, ham, pulled pork, turkey and stew easy to make and people enjoy.  Our maid rites are also enjoyed but we don’t find hamburger at the Food Bank very often.  When we shop at the Food Bank could we watch for this item.  Without Generations of Faith, we have freezer space for these specials when available at the Food Bank.
There was a discussion about the new security protocol that is being installed at St. Paul’s .  Members had questions about the procedure we will follow.  We may be going back to greeters?  In the reminder e-mail volunteers receive, will inform them where to go when they arrive.  Also talked about which doors will be locked and the time they will be unlocked, if they are unlocked.  We as a group will experience these changes for the first time this month.  It was reported that at St Paul’s meal there were 2 doors unlocked at 4:30.  The people who came to the meal, sat in their cars until then.
Next meeting will be October 2, 2019 at 9:30 in the Conference Room at St. Mary.
