Pastoral Council Meeting 2 – 19 – 19
Attendees: Renee Aschbrenner, Jennifer Siech, Mary Ann Hinders, Trent Lockard, Elaine Lawler, Wayne Green, Phil Paladino, Father Ambrosy, and Kelly Flege from Finance Committee.
January 15, 2019 minutes were reviewed and Mary Ann moved to approve the minutes. Elaine seconded the motion and the motion was approved.
Finance Committee Update: Next month’s expenses could come in over budget due to multiple maintenance expenses. The decision was made to remove the Fall Dinner and Holiday Bazaar envelopes from the offertory envelopes. There will be three envelopes added for the holy days observed on 8/15/19, 12/8/19 and 1/1/20 which will go to charitable organizations determined by the Peace and Justice Committee.
Renee moved to approve the Parish Life charitable giving requests. Mary Ann seconded the motion and the motion was approved.
Task Force Update: The task force has not been able to meet yet due to weather.
The council did brainstorm some ideas on what its vision may be for the future of the church. Some things mentioned were:
  • develop programs/activities to attract the youth of the parish instead of them participating in other churches’ activities.
  • better communication of the activities happening at the church
  • develop programs that will guide parishioners through other life issues, not just spiritual growth
Kelly motioned to adjourn the meeting and Wayne seconded the motion.
 
 Finance Council – Feb 19, 2019
Present: Penny Toay, Steve Phyfe, Kelly Flege, Fr Dave Ambrosy. Also present: Deacon Phil Paladino, Dixie Jacobs.
Monthly Financials: Offering is about $10,000 below last year’s giving. Some parishioners made their 2018 donations in late 2017 due to tax changes. The offertory deficit is about the same as the total of those early gifts. The finance council is comfortable to not adjust the budget at this time. The taxa, priest health insurance, and property insurance will be paid in March. They are the last remaining large annual costs for the parish, and are within budget. Steve made a motion to accept the financials as presented; Penny seconded. The motion passed unanimously.
Offertory Envelopes: The council reviewed the special collection envelopes. The fall dinner and bazaar envelope donations are only a couple hundred dollars. The cost is prohibitive to continue with these. Only two of the Holy Days have an envelope in the packet, and several parishioners have requested an envelope for the remaining Holy Days. Penny made a motion to remove the fall dinner and bazaar envelopes and add a Holy Day envelope for Jan 1, Aug 15 and Dec 8. Steve seconded the motion; the motion passed unanimously.
Budget 2019/20: Cost of living (COLA) is 1.9%. The budgeting process will begin next month.
Long-Range Planning: The committee has not meet due to weather. Their first meeting is next week.
March 19 Meeting Agenda: monthly financials, long-range planning, 2019/20 budget.

Building and Grounds Budget Meeting - February 26, 2019
Present: Duane Schwickerath, Father David, Tim [)reesman, John Qaap, Laurie Masters, Becky David, Jon Elsamiller, Chris Schaedig, Milora Johanns.
Old business was discussed with these items being covered on this year’s budget.
Large prairie will be seeded in the spring after not being able to get it done in the fall. Will use pollinator seed that has lowa Native plants. Duane is hoping to do all prairies with the seeds that have been purchased.
The church has been so busy that Duane has not gotten any painting done yet. He is hoping for May or June to get it done. It was also mentioned that nails are popping out in the hall.
We looked at the members of the committee. Looking for members to replace Becky David, Brian Sutton, Milora Johanns, with a replacement found for Jon Elsamiller. Todd Tatroe will join the committee. There were no volunteers to become chairperson.
2019 Budget:
We propose to have $3500 for snow removal. This year the budget was not enough to cover all that has needed done.
$500 will be needed for weed control.
$4000 for crack repair on the parking lot. The person who did it last year has raised their price, thus we need to budget more.
The mower deck, snow blower, and drive train on the tractor need attention. They have been used
extensively and sometimes been a bit abused with volunteer helpers. The items are fragile. We would propose $6850 to replace the items. There is a possibility to rebuild the drive train and replace the blower for a savings of about $1500. We feel that replacing will give us more years of usage and we still have some trade-in value right now.
Discussion was held on purchasing a salt spreader and application by parishioners and Duane. This was voted down after comparing costs.

Peace & Justice Committee – Feb 11, 2019
Waverly Habitat Build in Heartland Hills: The drywall has been hung and now we are mudding and taping. A St. Mary crew worked February 9th and another work day will be planned for March or April.
  • Peace and Justice presence on the St. Mary Web site: We discussed adding some content about the Peace and Justice committee on the St. Mary website. We are still discussing what the content to include.
  • Parish Long Term Planning: We discussed what input we could share with the Parish Long Term Taskforce as it pertains to Peace and Justice. We will continue to think about our long term goals as a Committee
  • Tithe:
    • National
      • $1,000 to Heartland Habitat for Humanity
      • $1000 to the Waverly Food Bank
      • $800 to the North East Iowa Food Bank
    • International:
      • $1500 for Bread for the World
      • $1500 to the Sister Water Project, Sister of St. Francis in Dubuque.
We see you made a note that the Ash Wednesday collection could be allocated to the Sisters of St. Francis. Since we intend to donate $1500 to them, we were wondering if we could combine the Ash Wednesday collection with the $275.32 from the Immaculate Conception and Mary, Mother of God Holy Days and donate the total to Birthright of Cedar Falls. We believe the office address is 4113 University Ave, Cedar Falls, phone number 319-277-2000. I am not sure we have given to them before.
 
 
St. Mary Parish Life Minutes - February 20, 2019
Went over financials.  Thanks to Dixie for sending a corrected copy.
We have Santa reserved for the 2019 Holiday Bazaar.  Sharon has sent thank-you letters to the 2018 vendors.  We listed questions that need to be answered before we can do further planning for the 2019 Holiday Bazaar.  Helen will email the list to the office staff.
Linda O. is investigating new coffee carafes for the kitchen.  The current ones are 10 years old and many have commented that they do not keep the coffee hot.  Rubber gaskets on lids are also no longer good on quite a few of them.  The plan would be to replace the worst 12 carafes as a start.
Parish Life will serve the Simple Supper on Tuesday, March 26.  Menu will be a baked potato bar.  That has been well-received in the past.

Community Meal Planning Meeting March 2019
Attendees: Tom Singewald and Grand Daughter Hattie, Nancy Carlson, Jan Kriener, Dolly Kreger, Jim and Linda O’Donnell
Last month we served 229 guests a meal of pork chops, mashed potato with gravy, squash, applesauce cup, bars and ice cream.  The meal cost $168.44 with supplies coming from the grant provided by the Waverly/Bremer Foundation.
The grant application from Waverly/Bremer Foundation has been completed and needs to be sent in by March 15th.  This is for the fiscal year 2019/20.
The vision statement worked on by the Leadership Committee was reviewed.
The March meal will be goulash, bread and butter, jello with fruit, cookies and ice cream.
The April meal will be beef stew, bread and butter and bars with ice cream.
We have 12 oz bowls with lids to be used for carry outs for both meals.
The May meal will feature pork chops.
Our next meeting will be April 3rd, 9:30 AM in the conference room at St. Mary Church.
 
 
Liturgy Committee – Feb 27, 2019
The Liturgy Committee Meeting was called to order by Ellie Hilbert at 6:30 p.m. on February 27, 2019 in Father’s Office. There were 8 members present: Fr. David Ambrosy, Mollie Muntefering, Ellie Hilbert, Donna McNulty, Susie Poock, Ruth Schluter, Gail Dunnwald, and Bev Brus.
The opening prayer and reflection was presented by Ellie Hilbert –Mk 9:38-40 and February 27th Meditations from Word Among Us 
Old Business
Reschedule retreat?
Mollie will check to see if October 5th will work to have the Retreat rescheduled.
New Business
Leadership Group Meeting - Name Tags (Long Term Planning Committee
It was brought up at the meeting people liked the name tags and would like it more often. We will try to have 2 weeks in a row. It was suggested to have first and last name and the town they live in. We will have name tags on the weekends of March 9th and 16th.  Susie cannot be there on the 16th.  We will see how it goes on the 9th.  Ushers may be able to direct people to use the name tags.
Another point was when the next Pictorial would be.  Someone will check to see if the books can be online.  One concern is if on-line who can see phone numbers and emails.  
Usher coordinator - Vicky stepped down
Some names to contact to see if they would take this position were, Betty and Denny Meyer, Joe Barber, Brian Graettinger, and Ron Meisgeier.  Mollie has a Job Description.  They would train new ushers and invite people to the ministry.
Lent
Outline for Ash Wed & Lenten liturgies                Prayers of the Faithful - spoken or sung?
The Prayers of the Faithful would be read and we will use Lord, Help us with your Grace.
Ash Wednesday
Commentator will read the Entrance Antiphon and invite people to kneel, Father will process without music and someone will ring the bowl bell 3 times.  Father will bow and go by his chair and kneel.  The deacon and servers will go to their usual spots and kneel.  Father will invite people to stand and have the Sign of the Cross, there is no Penitential Rite and No Creed.  There will be a Blessing of the Ashes.  Some of the Eucharistic Ministers will help distribute ashes.  3 are needed at 7 am and noon and 5 are needed for 6 pm service.  The collection will be for BirthRite.
For the weekends during Lent Father will come in without music and someone will ring the bowl bell 3 times.  The cantors will chant the Kyrie, we will say the Apostles Creed (it is not in the front cover and someone will have to announce where to find in the Missals).  We will have a spoken response for the Prayers of the Faithful.  There will be a reflection song after Communion. This will be sung as soon as the musicians have had communion.   After this song Father will ask the people who visit the homebound to come up.

The different committees are going to take turns going to the Stations of the Cross.  Our turn is March 26th, if you are available.
Palm Sunday - outline of liturgy
We will start in the hall.  People can pick up Palms as they come.  Father will start with the Sign of the Cross, Bless the Palms, have a Reading and we will walk into the church.  We will try to have people just walk in the doors by the Baptismal font.  When we get into church we start with the Liturgy of the Word, Passion will be read in parts and have music.  We will use the Apostles Creed, there will not be a Reflection song at the Mass.  The last song will be Were you There sung acapella
RCIA is being revamped to go year round.  This will make it more flexible for people to meet their needs.  Mollie is looking into going to a conference in July about RCIA. 
The next meeting will be held on Tuesday, March 12, 2019, at 6:30 p.m. in the Office Conference Room.
The meeting was closed with the closing prayer. The meeting was adjourned at  7:40 p.m.
